Evidence Policy
Evidence is the heart of Buildra. This policy explains how we seal site media, how we preserve its chain of custody, and what our guarantees do — and do not — cover. It supplements our Terms of Service and Privacy Policy.
Purpose
Buildra exists so that what happened on a site can be relied upon later by the people who were not there — clients, banks, lawyers, auditors and inspectors. To do that, every exhibit is sealed at the moment of capture and preserved in a form designed to be tamper-evident and verifiable.
How evidence is sealed
The instant an exhibit is captured, Buildra records and binds:
- GPS coordinates from the device, with an accuracy estimate;
- a dual timestamp — the device clock and an independent signed server clock;
- the capturing user, project and work package;
- a SHA-256 cryptographic hash of the file, anchored on a regular schedule;
- storage in write-once media so the original cannot be overwritten.
Capture works offline: files are sealed on the device with a cached signed-time token and re-anchored to the server when connectivity returns. Retroactive editing of the sealed record is not possible.
Chain of custody
Every interaction with an exhibit — viewing, sharing, annotating, exporting — is logged with the user, time and context, and becomes part of the record. Annotations overlay an exhibit; they never alter the sealed original. Exports include a signed chain-of-custody manifest so a recipient can trace each exhibit from capture to delivery.
Integrity guarantees
Anyone holding an exported exhibit can recompute its SHA-256 hash and compare it to the value in the manifest. A match demonstrates that the file has not changed since it was sealed. Because hashes are anchored on a schedule, the existence of the exhibit at or before a given time can also be demonstrated.
Admissibility
Tanzanian law recognises electronic records and data messages as evidence — including under the Electronic Transactions Act, 2015 and the provisions of the Evidence Act dealing with electronic evidence. The features above are designed to support the authenticity, integrity and reliability that a court or tribunal looks for. However, whether any particular exhibit is admitted is always a matter for the relevant court or tribunal, on the facts before it. Buildra provides tooling and does not provide legal advice or any guarantee of admissibility.
Access & audit
Access to evidence is controlled by the Customer through roles and permissions. Buildra staff do not access Customer evidence except as needed to operate, support or secure the Service, or where required by law — and such access is itself logged.
Retention & export
Sealed evidence and its chain of custody are retained for the period set in the Customer's plan (for example a multi-year chain-of-custody term). Customers can export evidence bundles (file plus manifest) at any time during the subscription and for a reasonable window after it ends.
Corrections & requests
Because the record is write-once, we do not edit sealed exhibits. Where context is wrong (for example a mis-tagged work package), the correction is recorded as a new, logged entry alongside the original — the original is preserved. Requests to remove content (for example a privacy request) are assessed against legal obligations and the Customer's instructions, since the Customer is the controller of project evidence; lawful removals are themselves logged.
Limitations
- Buildra seals what it is given; it cannot verify that the scene depicted is itself truthful.
- GPS and device clocks depend on the capturing device and environment; accuracy estimates are recorded with each exhibit.
- Nothing in this policy is a warranty of legal outcome or admissibility.
